¿Qué roles le pongo a un preparador nuevo? En la mayoría de las oficinas, estos:
·
ReturnPreparer — para preparar declaraciones.
·
LicensedUser — ⭐
obligatorio. Sin este rol el usuario
no puede entrar al programa, tenga los demás que tenga. Lo asigna el usuario
Admin — o cualquier usuario que tenga el rol
Administrator, que puede hacer lo mismo.
·
BusinessReturns —
solo si esa persona va a preparar declaraciones de negocio. En Online son la
1120-S y la
1065. Si solo hace 1040, no hace falta.
⚠️ ¿Y para transmitir? Un
ReturnPreparer por sí solo NO transmite. El rol que transmite es el
SuperUser. Hay oficinas donde solo lo llevan el dueño o el administrador, y otras donde se lo ponen a todos los preparadores:
es decisión de cada oficina.
✍️ Si va a usar la firma electrónica hay que añadirle el rol
eSignature. ⚠️ Tenga en cuenta que
cada envío de firma electrónica tiene costo, así que vale la pena decidir con calma a quién se le pone.
🔐 Cómo se asignan los rolesEntre a TaxWise Online como
Admin → arriba a la derecha abra el menú y elija
Settings →
Manage Users →
Edit en el usuario → en
Assign Roles, escoja el rol en
Possible Roles y páselo a
Assigned Roles con el botón
>> (con
<< se quita) →
Save.
📱 El paso del MFA que más se escapaEn la misma pantalla del usuario, en la tabla de teléfonos: en el campo donde está el
«1» va SOLO el código de país; el
número de celular completo va en el campo de al lado. Y hay que
marcar la casilla de la fila Mobile en
Use for 2-Step Verification para que el código llegue
por texto. Si el número se mete entero en el campo del «1», o la casilla queda en otra fila,
el código no llega y el usuario se queda fuera.
🔁 Resetear el password de un usuarioComo
Admin:
Settings → Manage Users → Reset Password en el usuario que lo necesita.
¿Y si el que olvidó el password es el propio Admin? En la pantalla de login dele a
«Forgot username or password?», escriba el
Client ID y el
Username y dele a
Reset. Le llega un
password temporero por email a la dirección de ese usuario; entre con él y el programa le pide crear el password nuevo.
🚫 Desactivar un usuarioComo
Admin:
Settings → Manage Users → Edit en el usuario →
quite la marca de «Is Active User» →
Save. ⭐ Así también
libera la licencia que ese usuario estaba ocupando.
La tabla completa de roles (como la publica TaxWise):

Interviewer — ve el Dashboard y las declaraciones, crea declaraciones
solo en modo entrevista, ve el Return Query y sus propios ajustes.
·
SuperUser — todo lo del preparador
más transmitir, ver acknowledgements, imprimir rechazos y entrar a los reportes.
·
TemplateManager — crear los Return Templates (los defaults).
·
Administrator (Admin) — todas las funciones del programa y los ajustes de
todos los usuarios.
·
Reviewer — ve y mueve las declaraciones de
todos, imprime detalles de rechazo y ve los acknowledgements de todas.
·
e-FileManager — transmite los e-files
de todos los usuarios.
·
LicensedUser — ⭐ sin él
nadie puede entrar. Lo asigna el Admin o un usuario con rol Administrator.
·
CheckPrinter — imprimir cheques de reembolso.
Va junto con otro rol.·
ExportGrid — exportar la lista de declaraciones.
Va junto con otro rol.·
InterviewProcessor — importar entrevistas de InterviewPlus Online.
Va junto con otro rol.·
ReturnPrinter — imprimir declaraciones
de cualquier usuario.
Va junto con otro rol.·
ReturnDeleter — borrar y restaurar declaraciones.
·
Support — si la oficina tiene
sub-oficinas, deja entrar a sus cuentas sin salirse de la principal.
·
eSignature — usar la firma electrónica dentro de una declaración.
·
PasswordMaintenance — que un usuario
que no es Admin pueda resetear passwords.

🇺🇸 User roles in TaxWise Online: which ones a preparer needs
Which roles do I give a new preparer? In most offices, these:
·
ReturnPreparer — to prepare returns.
·
LicensedUser — ⭐
required. Without this role the user
cannot log in, no matter what else they have. It is assigned by the
Admin user — or by any user with the
Administrator role, who can do the same.
·
BusinessReturns —
only if that person will prepare business returns. In Online those are the
1120-S and the
1065. If they only do 1040s, it is not needed.
⚠️ What about submitting e-files? A
ReturnPreparer on its own does NOT transmit. The role that transmits is
SuperUser. Some offices give it only to the owner or the manager, others give it to every preparer:
it is up to each office.
✍️ If they will use eSignature, add the
eSignature role. ⚠️ Keep in mind that
every eSignature sent has a cost, so it is worth deciding carefully who gets it.
🔐 How to assign rolesLog in to TaxWise Online as
Admin → top right, open the drop-down and choose
Settings →
Manage Users →
Edit on the user → under
Assign Roles, pick the role in
Possible Roles and move it to
Assigned Roles with
>> (use
<< to remove) →
Save.
📱 The MFA step everyone missesOn that same user screen, in the phone table: the field showing
«1» is the country code ONLY; the
full cell number goes in the next field. Then
check the box on the Mobile row under
Use for 2-Step Verification so the code arrives
by text. If the whole number goes in the «1» field, or the box is checked on another row,
the code never arrives and the user is locked out.
🔁 Resetting a user passwordAs
Admin:
Settings → Manage Users → Reset Password on the user who needs it.
What if the Admin is the one who forgot? On the login screen click
«Forgot username or password?», enter the
Client ID and
Username and click
Reset. A
temporary password is emailed to the address on file for that username; log in with it and the program asks you to create a new one.
🚫 Deactivating a userAs
Admin:
Settings → Manage Users → Edit on the user →
clear the «Is Active User» checkbox →
Save. ⭐ This also
frees up the license that user was holding.

Support — if the office has
sub-offices, lets users log into those accounts without leaving the main one.

non-admin user reset passwords.
